9.1 Edit and sort a database table
As you work through, you will find help available in the Database Information Pack, if you need to use it. N.B. Before you begin this section, you may want to do the Level 1 IT Basics module.

Introduction
There have been many changes, to the keeping of records, since computers have entered our lives. Computers can be used to store large amounts of information. In the past all records have been stored on paper in filing cabinets. This has now changed to records and information being stored in databases on computers. Databases make keeping and viewing the stored information very easy. A database can be used to store customers’ names and addresses. A database can be set up to enter the customer’s name or a membership number and then the rest of the details for that customer will then be shown on the screen. Databases are used in many organisations. Below are some examples:        Library; Doctor’s surgery; Government departments; Shops; Hospitals; Police; Schools.

In the past, there have been written records of any visits you make to the doctors. When visiting the doctors now, all your information is recorded in a database on the computer system. All the doctors within the practice will be able to access your information from their own computers. There will be a record of any medication you have been given and when you were given it. Information can be added each time you visit. Organisations wishing to store personal details have to register under the Data Protection Act 1998. This is to protect personal details from becoming public knowledge. The Data Protection Act 1998 sets out rules for organisations. Organisations have to make sure that all data stored on a database is accurate, secure and must be deleted as soon as it is no longer needed. We are going to be using the database software called Microsoft Access. There are other database software packages available.

Open Microsoft Access
Open Microsoft Access. Maximise the window.

Open a database
Open the database called DB L1 9.1-For Sale, which is saved in your folder. When a database opens, all the objects which you may want to create are listed on the left. We are going to look at a table which has already been created. Click on Tables. The Houses For Sale table should be in the list for you to choose.
