Section 1 – Understand how to support the organisation of a business event

Administration is essential while organizing a business event. Everything has to be planned and organized. Below I am exploring different types of support activities that are usually require
Organizing a venue
All events need a venue. It needs to be chosen accordingly to our needs, it has to have right location and capacity.
Getting the appropriate equipment
We need to provide all sort of equipment, from computers and screens for enabling PowerPoint presentations, through the right sound system and to even portable toilets if event is organized in open air.
Arranging for speakers to attend
If we organize event such as conference or seminar, we have to make sure that required speakers will be present.
Sorting out food and drink
It is dependable from type of event. Sometimes tea, coffee and water can be enough and sometimes all three course dinner might be required. In such a case we need to consider all special dietary requirements.
Preparing documentation
These will include things such as: promotional brochures, invitations, menus, conference packs, itineraries and minutes.
Publicising the event
Right people need to be informed about the event and have a reasonable time notice to make all arrangement to be present at our event.
Booking rooms and accommodation
Sometimes it is necessary to organize accommodation, i.e. for speakers or staff who could not travel to and from the event in a day.
Ensuring there is appropriate insurance cover
Sometimes specific insurance cover is needed. It may also be useful to insure against unforeseen circumstances that could undermine the whole event, such as very bad weather forcing an outdoor event to be cancelled.

We can achieve the goals of the event only by being professional. There will be more support for our business if internal and external customers will be satisfied with our event. We have to stay open minded and helpful all the time. Everyone participating has to know all the time why and where he should be.
Organizing a successful event and behaving only in a professional way will benefit company's opinion in business environment. It will help to get more customers and generate bigger profits.
